Job summary

This clerical Administrative Assistant position consists of general clerical duties including telephone answering, office machine operation, customer service, and employee relations.


Education: High School Diploma; must be able to read, write, and do basic math


Clerical experience in a fast paced office atmosphere preferred.
Demonstrated proficiency in Microsoft applications (Word and Excel required) and Lotus Notes.
Strong communication and problem solving skills essential.
Knowledge of principles and processes for providing excellent customer service.
Must be able to multi-task.
License: Must maintain a valid driver’s license

Physical Requirements:

Ability to sit for extended periods of time at a desk for a majority of an eight-hour day.
Ability and strength to operate a computer keyboard, copy machine, printer, fax machines, and telephone.
Ability to lift small boxes of office supplies weighing up to twenty pounds.
Ability to climb one flight of stairs.

Schedule DOT physicals, and drug screening as required.
Follow up on missing paperwork from DOT file for Human Resources.
Answer telephones, direct calls and take messages.
Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders and address complaints.
Prepare reports, memos, letters and other documents using word processing, spreadsheet, and database.
Maintain the drivers hours on excel spreadsheet weekly and submit to payroll.
Assist with Line Haul (Singles) Payroll weekly.
Process Manifests.
Prepare Pick and Delivery Report.
Schedule appointments.
Take pick up requests.
Process driver paperwork at the end of the day ensuring that it is completed and correct.
Assist with the Billings.
Keep work area orderly.
Learn and adhere to all applicable company rules, policies and procedures.
Interact with all customers both internal and external in a cooperative friendly manner.
Review driver paperwork daily for procedural compliance on Delivery receipts and Bill of Ladings.
All office personnel must be reliable, must report for duty on time, and must be available for overtime when required.
All office personnel must keep management informed.
Learn and adhere to all applicable company policies and procedures.
